Board Meeting Minutes
January 15, 2019 | Post-Membership Meeting | Starbucks, 106 N Denton Tap Rd, Coppell TX
Attendees: Aaron Hulett, Jonathan Sheets, Korky Kathman
After the Regular Membership Meeting concluded, the Regular Board meeting was called to order by Korky, KG5NNA at 9:01 PM. The meeting was moved to Starbucks as the library was closing for the evening.
Approval of last Board meeting minutes
The November board meeting minutes were reviewed and required one correction to mention Jon, N5JBS, contacted his brother in Colorado. Jon moved to approve as amended, Korky seconded, and all were in favor.
Aaron, K8AMH, reviewed the November treasurer report and Jon, moved to approve. Korky seconded this motion, and all were in favor.
Because the repeater was purchased in December but did not physically arrive in January, Aaron has an open question on how this should be accounted for. Plus, time is needed to verify that all reimbursement requests are submitted as part of closing the books at the end of the fiscal year. Aaron will provide a treasurer’s report for December at the next meeting.
Several members attended and good discussion about amateur radio took place, including answering questions about antennas, antenna tuners, and high frequency (HF) transceivers. There was a band on the patio that was quite loud. The Board will look into other options next year to try an avoid having such a loud band in the background.
The repeater was purchased under Yaesu’s promotion. This promotion ended at the end of the year, and while Yaesu has extended it in the past, it was not extended this time. Jon contacted Patrick Ware about the repeater pair and he is option to transferring it to the group. Jon will continue working on this, as well as setting up a meeting with the city.
IRS Form 1023-EZ filing
The form was filed on December 12, and now we will need to wait for the IRS to follow up. With the current government shutdown, this may take longer than usual. Aaron will keep the Board posted.
Coppell Community Summit
On February 19 from 6:30pm to 8:30pm there will be a community summit for Coppell organizations. The goal is for organizations to knowledge-share on what they offer and see if there is potential for partnering. If we were to attend, at least one representative would give a 30-second overview of our goals and what we can offer. Aaron moved that we send a representative to this meeting, Korky seconded, and all were in favor.
Aaron mentioned a need to schedule upcoming educational topics to better prepare material ahead of meetings. Ideas discussed were how to get on the air once you have an amateur radio license, what is CHIRP, bring handheld radios for help with programming or understanding how they work, what repeaters are in our area, and what amateur radio nets take place in our area.
For February, we will provide information about how to earn a Technician license, and what to do once it is in hand. Aaron will send out a survey or other email asking for questions people have about this.
Aaron will set up a Board member nomination page on the website so interested members can self-nominate for the upcoming vote at the Annual Meeting. It would be nice to have a special speaker attend this meeting and give a talk about his or her area of expertise. An example could be an emergency manager from the government discussing what happens in an emergency, how various government groups come together, and how amateur radio plays into the response. Board members will think about who to reach out to, but recognize that for our first Annual Meeting there may not be a special speaker available.
Article for Coppell Gazette
Korky will try to write an article to place in the Coppell Gazette, a publication that he has contacts with. Once he prepares a draft, he will send it out to the Board for feedback and then submit for publication.
With no other business before the Board, the meeting was adjourned at 9:31 PM.
