Annual Membership Meeting Minutes [DRAFT]

The Annual Membership Meeting was called to order by Darryl at 7:00 PM.
2018 events and accomplishments
2018 was a great year for CARE! After our kickoff meeting on September 18, we grew to 18 members, held our first event at Ray Roberts Lake State Park, shared information at our monthly meetings, had our first annual holiday party, and obtained repeater equipment from the past Coppell group as well as ordered a new repeater by establishing a dedicated repeater fund. This would have not been such a success without everyone’s help and support!
FY18 year-end financials
We had $1,628.68 in income and $1,233.82 in expenses. Our largest expense was the new Yaesu DR-2X repeater, and our greatest income was the repeater fund that helped with this purchase.

Our year-to-date financials as of the end of February are $350 in income with $275 from donations and $75 in memberships, and $4.15 in expenses for PayPal’s fees.
IRS 501(c)(3) determination
We sent our Form 1023-EZ to the Internal Revenue Service for consideration as an exempt organization under Section 501(c)(3) of the Internal Revenue Code. We are excited to announce we received our determination letter showing we are recognized as an exempt organization.
Website and wiki
We continue our investments in our website. There is now a new hams feed which pulls information from the FCC database so we can welcome new Texas hams to the hobby. The CARE Wiki has seen some traffic, especially around the entry describing how to program an amateur radio for a repeater.
The FCC has issued our club call and our repeater is now identifying as W5CPL. This machine has been on the air for a month and a half, and we encourage everyone to give it a try as we stretch its legs before its permanent installation. We are working with the City of Coppell on potential repeater placement, and currently the water tower is being renovated so we cannot inspect the site to see what equipment remains there or see where we could potentially install our equipment.
The City is also in favor of utilizing CARE for emergency communications in times where the City requests it. Focusing on weather alerts would be helpful, such as SKYWARN, and also ARES/RACES when warranted.
Work continues on obtaining a coordinated repeater frequency pair and we hope to have this set soon.
Amateur radio classes and testing
We will be setting up a technician class and amateur radio testing session with July as our starting month. To help facilitate this, we are looking for folks to help, regardless of being a Volunteer Examiner or holding an amateur radio license. Members of Mesquite’s VE team, including Ray W7BBQ, have volunteered to assist us in our first few testing sessions.
Board open position vote
Kurtis nominated himself for the Board position open for vote at the meeting, and a motion was made to waive voting by paper ballot and instead vote by a show of hands. Jon moved to approve the motion and Darryl seconded, with all in favor. We then voted and all approved Kurtis for membership on the Board.
We would like to set up for Field Day and a few locations are under review, such as Allen Road Pavilion, Wagon Wheel, and the Biodiversity center. We will need help with obtaining and setting up antennas, feed lines, radios, tables and chairs.
We are working to become affiliated with the ARRL, and our initial application was not approved as we need at least 50% of our members to also be ARRL members. We are only short by a few members, and we ask if anyone is interested in joining or renewing their membership to please do so and let us know so we can reapply.
With no other business before the Membership, the meeting was adjourned at 8:30 PM.
